Data Deletion Instructions — Thomas Williams Campaign Fund Effective date: November 7, 2025

If you want us to delete personal data we hold about you, please follow the steps below. This page explains what we will delete, how to request deletion, and any retention exceptions.

How to request deletion

  1. Revoke app access (optional but recommended): If you connected via Facebook, you can revoke the app immediately from your Facebook account:
    • Go to Facebook → Settings & privacy → Settings → Apps and Websites → Logged in with Facebook → find “Tommy Williams Campaign” or similar → Remove.

  2. Submit a deletion request to us:
    • Email:  OR use the Contact page on this Site and include “DATA DELETION REQUEST” in the subject.
    • In your request, include: the email address or phone number you used on this Site (or your Facebook user ID if available), the type of data you want deleted (e.g., contact form messages, volunteer record, endorsement, donation record), and any supporting details to help us locate your data.

What we will delete

  • We will delete personal data stored in our site database relating to non‑transactional entries: contact messages, volunteer sign‑ups, requests for signs, endorsements, and user comments (unless otherwise required by law).
  • If you request deletion of a registered account, we will remove profile information and user content as described above.

What we will not delete (or may limit deletion)

  • We may retain certain data required for legal, accounting, tax, or election compliance (for example, donor name, address, contribution amount, date, and processor transaction ID required for campaign finance reporting). Such information will only be used and retained to meet legal obligations and will otherwise be protected.
  • We may retain anonymized or aggregated data that cannot reasonably be used to identify you.

Timeframe

  • We will acknowledge receipt of your deletion request within 5 business days.
  • We will complete deletion within 30 days where feasible. In cases involving legal retention obligations, third‑party processors, or complex data dependencies, completion may take up to 90 days; we will notify you if additional time is required.

Proof of identity

  • To protect privacy, we may ask for reasonable information to verify your identity before fulfilling deletion requests (for example: confirming the email address used on the site). We will not ask for sensitive personal information (such as passwords or payment card numbers) solely to process your request.

Third‑party services

  • Some information is held by third‑party processors (payment processors, hosting, analytics, social platforms). We will submit deletion requests to those processors on your behalf where applicable, but we cannot guarantee deletion from third‑party backups or logs. We will provide information about which providers processed your data if you request it.

Revoking Google/Email access

  • If the request concerns our ability to send or access email via Google (for example WP Mail SMTP access), you may revoke access directly in Google Account → Security → Third‑party apps with account access → Remove Access. Deleting the Site’s OAuth client in Google Cloud will also invalidate tokens.

Notes for Facebook/Meta app review

  • Use the page URL you create for the Data Deletion Instructions field in your Facebook app settings.
  • If your app uses Facebook Login and you implement a Data Deletion Callback URL (server endpoint that programmatically deletes data when Facebook triggers it), include that callback URL in the app settings and ensure it follows Meta’s callback response requirements. If you do not implement a callback, the URL above is acceptable for instructions and manual deletion requests.
